Privacy notice
How this website handles an enquiry, and what must be confirmed before the service opens.
Draft for owner review. This page describes how the website has been built. It must be reviewed, completed with verified business details and approved – with professional advice where needed – before LynkSafe opens for enquiries or bookings.
Status of this notice
This is a pre-launch draft, not a final privacy notice. Online enquiries stay switched off until the business’s identity, contact details, lawful bases, retention period and service providers have been reviewed and published here.
Who is responsible for your information
LynkSafe Travel. The business name, address and privacy contact will be shown here once they have been verified.
Online enquiries and business contact details will be available when LynkSafe opens for enquiries.
What the enquiry form collects
- The service you choose and your travel preferences – for example destinations, dates, the number of travellers, a budget range and any practical access needs you choose to describe.
- Your name, email address, an optional telephone number and how you would prefer us to reply.
- Anything you add in the optional message box.
- A record that you acknowledged this notice (with its version and the time), and whether you ticked the separate, optional box to receive occasional emails about planned group journeys.
- The page you sent the enquiry from.
The form does not accept uploads. Please do not include passport numbers, financial documents, payment-card details or medical information.
How it is used
To reply to your enquiry and, if you ask, to prepare a quote. When an enquiry is received, an email containing its reference and details is sent to the LynkSafe team using the website’s email service.
We only send occasional emails about planned group journeys if you ticked the separate, optional box, and you can ask us to stop at any time. Registering interest in a trip does not sign you up to marketing.
Where it is kept
Enquiries are stored as private records in this website’s WordPress database, which only authorised LynkSafe staff accounts can open. The website’s hosting provider stores that database on LynkSafe’s behalf, and notification emails pass through the configured email provider.
How long it is kept
Enquiry records are deleted from the website automatically 12 months after they are received. Copies of notification emails in the team’s inbox should follow the same period.
Keeping the form secure
The form uses a time-limited token, a hidden field that only automated software fills in, and a limit on repeated submissions. For that limit, a one-way coded version of your connection’s IP address is held for up to an hour; it is not stored with your enquiry.
Your rights
You can ask for a copy of the information in your enquiry, ask for it to be corrected or deleted, or object to how it is used. The website includes WordPress’s personal-data export and erasure tools, which find enquiries by email address.
If you are unhappy with how your information is handled, you can complain to the Information Commissioner’s Office (ICO).
To be confirmed before launch
- The legal name and contact details of the business responsible for your information.
- The lawful basis for handling enquiries, and for group-journey emails where you opt in.
- The hosting and email providers, and whether any information is stored outside the UK.
- How to contact LynkSafe about your information.
